Hello everyone I had the pleasure of a week off this month in beautiful warm Darwin. We have had a busy month organising dates and events for the AGM, Resource Sundowner, Ravy WIB Dinner and meetings. I attended the Governance workshop in Hopetoun that we asked the Volunteer Centre in Esperance to conduct and organise and they did a fantastic job. I would recommend anyone that is part of a board or community group to do this course. Some notes from this course; GOVERNANCE WORKSHOP Finance meetings (quarterly) may need a sub-committee responsible for this. Need a budget! Check constitution � this predicts the rules for the operation of the chamber. Seal of Incorporation- Must have one- where is it, who has custody of it?? Need to use on applications for funding etc Need to buy a copy of the Incorporation Act from www.slp.wa.gov.au Can download a copy of the Guide to Incorporated Associations from www.docep.wa.gov.au Capacity Building grants- can be obtained from Lotteries West for Strategic plans etc AGM- Must notify all members 21 days before AGM meeting and place advert in paper. Must have all members residential addresses as well as postal addresses. Must have separate record of all record bearers and all of their information. Download all info on laptop and emails onto disc for safe keeping. Check that all of members of a committee are happy to have their names and phone numbers on any adverts, letters etc How to handle Business and conflict of interest on committees. Do we need Board Insurance and Volunteer Insurance? Must have an acting Secretary and a Treasurer that can oversee and be responsible for book-keeper etc. Need a Board Induction Kit which will include a Code of conduct, Job description, Constitution, Contact list, copy of Strategic Plan, policy and procedure manual, organisation/staff chart, copy of past financial audited statements. Reward and recognition Need to organise an Incident Report. Do flow charts Give copy of all insurances to all exec and board members. Confidentiality forms for all executives to sign. Give each exec a job role. PROJECTS UPDATE COMMUNITY BANK We have now received the $5000 from BHP for the working fund and it will be deposited into the chamber account and then transferred. Thank you very much BHP Billiton. We still need more pledges and the committee will be working towards more active involvement in the community over the next month to get more pledges. Two large new banners are being displayed in Hopetoun at the fuel depot and in Ravy. We have placed ads in the Community Spirit and a letter of support from the chamber president. If you haven�t put your pledge in yet and wish to please consider doing that sooner rather than later. There have been some concerns with completing a pledge form and what that means. If you complete a pledge form to support a community bank or wish to pledge money this does not mean you will have to do both unless you wish to. It is only an indicative pledge also which means that it is to give the committee some indication of how many people of the community will support the bank, you cannot be legally held to it. WINGS AND WHEELS We are at a point now where we need approvals in writing from the shire and CASA if needed. A risk management plan is still yet to be done and the funding applications need to be completed. We haven�t advertised yet as we have not had approvals in place or guaranteed funding. We will have another meeting on the 30th November to decide if this event should proceed or be postponed depending on approvals etc. I personally feel this event needs a lot more time to organise it, for funding and to promote it. EVENTS THE RESOURCE DINNER 23rd October What a great opportunity to be informed about what is happening in the region. All of the mining groups and Shayne Flanagan from the GEDC will be speaking to give an update.To ensure your place if you are wanting to attend this event to find out what the mining groups are doing in the area now and in the future please let me know as soon as possible for catering etc. WIB DINNER IN RAVY 10th October So far we have 15 women coming to this event. It is for the women of Ravensthorpe to have an opportunity to talk about their needs in business and the community, to network and for me as representative of the RRCC to find out who they are, what they are doing and what their needs are. AGM 29th October The date for the AGM is booked for the 29th October in the Red Room in Ravensthorpe at 7 pm. It is now a wine and cheese night so if you have any local wine or cheeses please let me know. RSVP by the 20th October. PERTH RCCIWA 13th and 14th November The CEO and Presidents meetings with RCCIWA and the politicians is to be held next month. I have sent a letter at the Presidents request to Kitty Prodonovich requesting a pre forum meeting. Kitty was all for the idea and is holding a pre forum phone conference instead due to time frames on Monday 13th October at 10am. This is going to be a great opportunity to be heard for this region. We will be promoting Training hubs and various other needs. FINANCIAL ADMINISTRATOR/PA Alison has been working hard on the end of year book keeping for the accountant which has now been emailed through. She has also been setting up office for internet, phones and signatories through the bank which has been very time consuming. RESIGNATION 20th December 2008 I have written a letter of resignation for the 20th December and emailed it to the President. I have done this as I need to pursue my own personal agendas and would like to say that I am extremely grateful for every opportunity this role has allowed me. It has been most rewarding and satisfying. It has also been stressful at times although allowed me to learn my own boundaries. I would like to take this opportunity to say thank you to everyone that has supported me and given me this wonderful opportunity. |
